1. Introduction

This is the privacy statement for business relations of Easys Horeca BV trading under the name Eazis Music & Systems (hereinafter Eazis).
This statement provides information about the personal data that Eazis processes from its business relations, prospects, and former business relations.

Eazis is a B2B company and does not do business with private individuals. 
To purchase products and services from Eazis, you must have a valid Chamber of Commerce number.

Eazis handles the personal data of its clients with care and ensures that any processing of personal data complies with applicable laws and regulations.

The first part of this statement describes in general terms how Eazis handles privacy.
The second part addresses the various purposes for which data is collected.

2. SCOPE AND PURPOSE OF THE PRIVACY STATEMENT

2.1 Scope

This statement applies to all personal data of contacts processed by Eazis.
When this statement refers to contacts, it also includes leads, prospects, and former contacts. 

The Eazis website contains a number of links to websites of other organisations.

Eazis is not responsible for the processing of personal data via these websites.

If customers choose to share information about Eazis via social media channels, their personal data will also be visible to all visitors of these personal social media pages (such as Facebook). The terms and conditions (including the privacy policy) of the relevant social media sites apply to the use of such social media pages.

2.2 Purpose

The purpose of this statement is to: 

  • To protect the personal privacy of the relations whose personal data Eazis processes against misuse of that data and against the processing of incorrect data; 
  • To prevent personal data from being processed for a purpose other than that for which they were collected; 
  • To safeguard the rights of Eazis relations.

3. COLLECTION AND PROCESSING OF PERSONAL DATA

3.1 Collecting

Eazis only collects and processes personal data for specific purposes.
The purpose or purposes are defined before the personal data is collected.

Eazis's products and services are divided into a number of categories.
For each category, it is indicated which personal data Eazis processes, for what purposes this is done, and how long this data is retained.

3.2 Processing personal data

Processing of personal data means any operation or set of operations which is performed upon personal data.
Such operations include, but are not limited to, collection, recording, organization, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.

Eazis is responsible for processing the personal data of its clients.
In providing its services, it uses only its own employees, who have signed a confidentiality agreement.

3.3 Special personal data

Special personal data are all personal data that provide information about an individual's: religion or belief, race, political affiliation, health, sex life, criminal record, and personal data about unlawful or disruptive conduct for which a ban has been imposed. Eazis does not process special personal data of its clients.

4. SECURITY OF PERSONAL DATA

  • Eazis takes the protection of personal data seriously and handles the personal data obtained with the utmost care.
  • Eazis has taken various technical and organizational measures to protect personal data against loss or unlawful use.
  • Eazis secures its systems and applications in accordance with applicable information security standards. These measures are partly intended to prevent unnecessary collection and further processing of personal data.

5. REQUESTS FOR INSPECTION, CORRECTION AND DELETION

A customer may at any time request access to the personal data Eazis collects about them and request correction. Requests to delete personal data can only be submitted for prospects or former customers.

  • For existing customers, this information is necessary to purchase products and services, and therefore personal data cannot be deleted. However, the deletion of data of contacts who no longer work for the customer can be requested. Access, correction, or deletion of personal data can be requested by sending an email to [email protected]. If the customer no longer wishes to receive emails or other marketing communications with information about products and services (including, for example, invitations to events, newsletters, and magazines), this can be indicated by opting out of these communication channels. If the customer's request for access, correction, or deletion is not fulfilled satisfactorily, the customer can contact the Eazis manager. If the manager's handling of the complaint is not satisfactory, the customer can contact the Dutch Data Protection Authority.

6. WHAT IS THE DATA USED FOR?

Prospect:

  • Contacting companies to purchase products and services: this involves using data such as name and address, email addresses, and phone numbers.
    This also includes all internal processes necessary to sell products and services to you.

Customers:

  • Processing the data as stated in the contract. Sometimes an additional check may be performed using Chamber of Commerce (KvK) data.
    This data is used for registering and providing our services.
  • This also includes all internal operations necessary to sell products and services to you. Technical data such as IP addresses are used to back up music lists and register them with rights organizations.
  • Technical data is used to provide the functionality of online services and to technically manage them.
    All this data is recorded in a unique customer file, both digitally and as a hard copy.

Service:

  • To be able to provide/support service and advice on Eazis products and services.
  • To ask a question/make a report to Eazis and have it processed. 
  • In the event of a recall, you can contact our customer directly. 
  • Sending service messages and information. 
  • Providing information about (previous) purchases/orders. 
  • Following up on online customer signals when you share your opinion about Eazis products and services.
  •  This also includes all internal work necessary to sell products and services to you.

Marketing:

  • To inform and inspire you to sell more Eazis products and services and/or to increase brand awareness of Eazis products and services. This also includes all internal work necessary to sell products and services to you.

Research/ Analyses:

  • Continuously improving Eazis products and services. Eazis analyzes purchase and browser data, among other things. This also includes all internal work necessary to sell products and services to you.
  • Technical data is used to improve the functionality of online services and to manage them technically.
  • Technical data such as IP address, device type, browser, visited sites/pages, and duration of visit/session are used to analyze and manage music usage.

Reports:

  • The collection of personal data for reporting purposes. 
  • Continuously improving Eazis products and services.
  • This also includes all internal work necessary to sell products and services to you.
  • Provision of information at the customer's request.
  • Providing information about name and address details to rights organisations.
  • To be able to carry out the financial settlement of the products and services sold by Eazis to you.
  • Your data and payment behaviour may, if necessary, be shared with a debt collection agency.
  • This also includes all internal work required to process these reports.

Website:

  • Your data, including your IP address, is tracked on the Eazis website.
    Eazis uses this data to continuously optimize its website and analyze traffic to and from the Eazis website.
    Eazis uses Google Analytics to track how the Eazis website is used and what interests it.
    This information is stored by Google. Google may share this information with third parties if legally required to do so.
  • The Eazis website has an SSL Certificate for security and will not provide this information to third parties.

8. RETENTION PERIOD

Eazis applies the fiscal retention period for all data.
